Our processing activities and the purposes of our processing activities are described below.
If you apply for a job with us, we process ordinary personal data that we have either received from you or from others you have agreed we can contact. We do so to evaluate your job application and you.
We process your personal data based on Article 6(1)(a) of the General Data Protection Regulation (“GDPR”) about consent and Article 6(1)(f) of the GDPR about legitimate interest. Our legitimate interests are to read your application and assess whether you are the right candidate for the job position, to offer our job applicants other possible job positions within our company as well as to be able to refer to and document the hiring process.
We store job applications for a period of up to 6 months after the end of the recruitment process if we decide not to offer you a job.
If you receive our newsletter you have signed up for newsletters on our website. In this context, we process ordinary personal data about you in the form of your name and email address. The purpose of our processing of the personal data is to send our newsletter to you. We process and store your personal data based on your consent in accordance with Article 6(1)(a) of the GDPR.
You can withdraw your consent at any time by unsubscribing in the bottom of the newsletter or by contacting us.
We store your personal data for as long as you want to receive the newsletter from us and for 2 years thereafter.
When you are one of our customers (both candidate and business representative), we process non-sensitive personal data about you or your employees in the form of name, address, email address, workplace, job title, telephone number and other professional information with relevance for your Boardway profile. For businesses we also process payment information. The purpose of our processing of the personal data is to handle and complete our contract concerning our services and matters related to these services.
If you are a candidate, such processing activities will be based on Article 6(1)(b) of the GDPR about performance of a contract.
If you represent a company or organization that is our customer, we process your personal data based on Article 6(1)(f) of the GDPR about legitimate interest. Our legitimate interest is to fulfill the contract that we have entered into with the company or organization that you represent.
Our Services offer you the ability to register and log in using your third-party social media account details (like your LinkedIn, Facebook or X logins). Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but will often include your name, email address, friends list, and profile picture, as well as other information you choose to make public on such a social media platform.
We will use the information we receive only for the purposes that are described in this Privacy Policy or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy Policy to understand how they collect, use, and share your personal information, and how you can set your privacy preferences on their sites and apps.
Generally, personal data derived from our customer relationship (both candidate and business) will be stored for the duration of this customer relationship and until 5 years after our relationship ends.
Bookkeeping data will be stored in accordance with applicable regulatory obligations and, thus, for 5 years after the end of the financial year to which the data relates. Our storing of the data is based on Article 6(1)(c) of the GDPR as we are legally obligated to store accounting material for 5 years in accordance with the Danish Bookkeeping Act. We also store the data based on Article 6(1)(f) of the GDPR about legitimate interest. Our legitimate interests are to have an overview of and to be able to refer to as well as document your purchases.
Certain features within Boardway allow businesses to import data from third-party systems (such as CRM platforms, productivity tools, or other business applications) into Boardway for use within their organization's workspace.
Boardway acts as a data processor, and a data processing agreement will be in place before access to the feature is granted.
Imported data is processed solely for the purposes specified by the customer and limited to the functionality of the relevant feature. The data may include general personal data such as names, email addresses, phone numbers, professional profile links, and other business-related contact or organizational information provided by the source system. Only relevant data is imported, which is determined by filters. This ensures that excessive data import is avoided. If unnecessary data is discovered it must be deleted from the system.
Our customers are thus responsible for ensuring they have an appropriate legal basis for importing and processing personal data through Boardway, including providing any required notices to data subjects and obtaining any necessary consents under applicable data protection laws.
The storage of data will be defined in each data processing agreement, but processing will continue on a basis continuing for the whole duration of the contractual period.
If you contact us via an email address or a contact form on our website or in connection with other inquiries, we process ordinary personal data about you in the form of name, email address and any other personal data provided by you in your inquiry.
We process and store your personal data based on Article 6(1)(f) of the GDPR about legitimate interest. Our purposes with and legitimate interests in processing your personal data are to be able to receive, handle and answer your inquiry.
Generally, we store your inquiry for 6 months. However, there can be special circumstances that entitle or obligate us to store the inquiries for a longer period of time. In these instances, you can always read more in this policy about our processing of your personal data.
We make posts on our website and social media such as Facebook, Instagram, LinkedIn, and YouTube with the purpose of informing about our company and our goods. In connection with this, we process ordinary personal data about participants in the posts in the form of pictures, audio, and video recordings as well as names.
We process and store the said personal data based on either your consent in accordance with Article 6(1)(a) of the GDPR about consent or Article 6(1)(b) of the GDPR as our processing of the personal data is necessary for the performance of the contract to which the participant is party.

We delete your personal data no later than 5 years after the publication of the post. However, there can be special circumstances that entitle or obligate us to store the data for a longer period of time.
When you participate in our events and networks, we process your ordinary personal data such as name, title, workplace, address, telephone number, email address and the type of event or network that you participate in. We only collect the personal data directly from you or the company that you are connected to.
The purpose of our processing is to carry out events and networks, to continue keeping you updated on practical matters and to send you material, lists of applications etc.
We process your personal data based on Article 6(1)(b) of the GDPR as our processing is necessary to fulfill the agreement with you concerning your participation in our event or network and Article 6(1)(f) about legitimate interest. Our legitimate interest is administration of the event or network.
As a main rule, we store the personal data until the event or network is finished and evaluated and potentially for the use of invitations for future events or networks of the same kind. If you have paid to participate in the event or network, we are obliged to store your personal data for 5 years after the end of the financial year according to the Danish Bookkeeping Act.
